Lettings & Viewings Coordinator
Reed are looking for a Lettings & Viewings Coordinator to deliver high-quality property viewings and tenant check-ins across a residential portfolio. This is a field-based role focused on creating a positive customer experience, maintaining high presentation standards and supporting occupancy through excellent face-to-face engagement.
What We're Looking For
- 2+ years' experience in lettings, property management, block management or a similar property role.
- Excellent communication and customer service skills.
- Full UK Driving Licence and own vehicle.
- Able to work two evenings per week and occasional Saturdays.
- Organised, proactive and customer-focused.
Key Objectives
- Deliver professional property viewings.
- Convert interest into tenant applications.
- Ensure vacant rooms are viewing-ready.
- Conduct smooth tenant move-in check-ins.
- Maintain a strong pipeline of applicants.
Key Responsibilities
Viewings & Property Presentation
- Conduct property viewings across the portfolio.
- Confirm appointments and reduce no-shows.
- Ensure properties are clean, presentable and ready to show.
- Provide accurate information on properties and tenancy terms.
- Answer applicant questions professionally.
Property Preparation
- Set up and move marketing materials between properties.
- Ensure vacant rooms meet presentation standards.
- Report any property issues identified.
Tenant Check-Ins
- Complete in-person move-in check-ins.
- Introduce tenants to the property and house rules.
- Deliver a smooth and welcoming move-in experience.
- Assist with check-outs and inventories when required.
Applicant & Pipeline Management
- Qualify applicants and assess suitability.
- Maintain accurate records within the CRM.
- Follow up viewing attendees and warm leads.
- Re-engage previous enquiries where appropriate.
Administration
- Respond to enquiries and arrange viewings when required.
- Update CRM systems and activity trackers.
- Monitor viewing and check-in performance.
- Support the wider team with reasonable business requests.
Working Pattern
- Field-based role with regular travel between properties.
- On-site position with no remote or hybrid working.
- Full UK Driving Licence and own vehicle required.
- Travel within approximately a 15-mile radius of Reading.
- Minimum of two evenings per week (finishing at 7:30pm).
- Occasional Saturday working (typically 6-8 hours).
