Are you an organized, customer-focused Scheduler or Repairs Coordinator looking for a rewarding role in property maintenance?
We are recruiting a Repairs Scheduler / Coordinator to proactively manage administration and diary scheduling for our dedicated Damp, Mould & Disrepair Team. In this role, you will play a critical part in coordinating field Operatives and Surveyors, managing compliance documentation, and delivering an exceptional service to residents.
Diary & Work Scheduling: Take ownership of Operative and Surveyor diaries to ensure works are completed in line with strict KPIs and SLAs. Interrogate WIP data and dashboards to prioritize urgent jobs.
Customer Liaison: Engage directly with residents to schedule appointments, keep them updated, and maintain outstanding customer service-especially on sensitive disrepair or legal cases.
Internal Collaboration: Work closely with Senior Managers, Surveyors, Operatives, and Sub-Contractors to ensure smooth daily service delivery.
Compliance & Documentation: Coordinate Gas, Electrical, EPC, and Asbestos survey documents, ensuring all certifications are up to date and filed correctly in the Document Management System (DMS).
Finance & Reporting: Raise Purchase Orders (POs) and follow purchase ledger processes in line with financial guidelines. Analyze data to provide trend reports and recommendations to the Assurance team.
Ad-hoc Administration: Raise additional jobs alongside Surveyors and handle core administrative tasks as required by management.
Proven Experience: Background in work scheduling, diary coordination, or repairs planning within social housing, property maintenance, or facilities management.
Key Skills: Excellent customer service, communication, and organizational skills with a strong eye for detail.
Systems Savvy: High proficiency in Microsoft Office programmes and experience using in-house scheduling databases or housing management systems.
