Property Operations Manager

Location: Glasgow (Hybrid/Remote)Salary: £32,000 - £38,000 DOEJob Type: Full-Time, Permanent

We are seeking an experienced Property Operations Manager to join our growing business and take ownership of the day-to-day operations of a residential property portfolio.

This is a varied and hands-on role that combines property management, compliance oversight, tenancy administration, maintenance coordination, and business operations. You will play a pivotal role in ensuring our portfolio is managed efficiently, compliantly, and to a high standard while helping to improve systems and processes across the business.

This position is ideal for a self-starter who thrives in a fast-paced environment, enjoys problem-solving, and can work independently while managing multiple priorities.

Key Responsibilities:

Property & Portfolio Management

  • Act as the primary point of contact for tenants, contractors, and suppliers.
  • Manage and coordinate maintenance requests from initial report through to completion.
  • Coordinate routine property inspections, move-ins, and move-outs.
  • Respond to tenant queries and resolve day-to-day property issues efficiently.
  • Maintain accurate property records and documentation.
  • Identify operational challenges and implement practical solutions.
  • Support the ongoing improvement of business systems, processes, and efficiencies.

Compliance Management

  • Manage and monitor all statutory compliance requirements across the property portfolio.
  • Track Gas Safety Certificates, EICRs, Legionella assessments, PAT testing, HMO requirements, and other property compliance obligations.
  • Maintain an accurate compliance calendar and ensure all certifications remain up to date.
  • Proactively manage upcoming deadlines and arrange inspections and renewals.

Tenancy Administration, Deposits & Inventories

  • Oversee tenancy administration throughout the tenancy lifecycle.
  • Coordinate tenancy agreements, renewals, and related documentation.
  • Manage tenancy deposit registrations and associated administration.
  • Arrange inventories, check-ins, and check-outs.
  • Handle deposit return negotiations and support dispute resolution where required.

Financial Administration & Bookkeeping Support

  • Process supplier invoices and receipts accurately and efficiently.
  • Assist with rent monitoring and arrears reporting.
  • Input and reconcile transactions using accounting software such as Xero.
  • Reconcile supplier statements and support general financial administration.

Digital Records & Process Improvement

  • Convert and maintain paper-based records within a structured digital filing system.
  • Ensure all portfolio documentation is organised and easily accessible.
  • Identify opportunities to automate administrative processes and improve operational efficiency.

Essential

  • Previous experience in property management, lettings administration, portfolio management, or a similar role.
  • Excellent organisational and administrative skills.
  • Strong communication and relationship-building abilities.
  • Ability to manage multiple priorities and deadlines independently.
  • A proactive and solutions-focused approach

Additional Information

This role offers significant autonomy and requires someone who is comfortable taking ownership of a broad range of responsibilities. While the role is primarily Monday to Friday, occasional weekend working may be required to support business and operational needs.
