Assistant Facilities Manager

Location: Newcastle upon Tyne
Salary: 30,000 - 32,000 + Shift Allowance
Job Type: Permanent Full-Time

The Role

An exciting opportunity has arisen for an Assistant Facilities Manager to join a busy facilities team supporting a portfolio of sites across Newcastle.

Working closely with the Facilities Manager, you will play a key role in ensuring buildings are safe, secure, compliant, and maintained to a high standard. You will support the delivery of both planned and reactive maintenance activities, supervise contractors, assist with building operations, and contribute to the smooth day-to-day running of multiple sites.

This role offers a varied workload and would suit an experienced facilities, maintenance, estates, or building services professional looking to further develop their career.

Key Responsibilities

  • Support the day-to-day management of facilities operations across multiple sites.
  • Carry out regular facilities inspections and implement remedial actions where required.
  • Monitor and operate building services including heating, ventilation, and plumbing systems.
  • Coordinate reactive and planned preventative maintenance activities.
  • Open, close, and secure buildings in accordance with operational requirements.
  • Supervise contractors and ensure work is completed safely and to agreed standards.
  • Undertake minor maintenance and repair tasks as required.
  • Support porterage, room set-ups, and general site operations.
  • Maintain accurate records, compliance documentation, and inspection reports.
  • Assist with health and safety monitoring, risk assessments, and site security procedures.
  • Respond to facilities-related issues and emergencies promptly and effectively.
  • Identify opportunities for ongoing improvements to facilities and services.

Key Requirements

  • Previous experience within facilities management, maintenance, estates, building services, or a similar role.
  • Knowledge of building systems, including heating, ventilation, and plumbing.
  • Good understanding of health and safety, compliance, and security procedures.
  • Experience managing contractors and external service providers.
  • Ability to carry out site inspections and identify maintenance requirements.
  • Strong organisational and time-management skills.
  • Excellent communication and stakeholder management abilities.
  • Competent IT skills, including Microsoft Outlook, Word, and Excel.
  • Ability to prioritise workloads and work independently using initiative.
  • Flexible approach to working hours and operational demands.
  • Experience completing reports and maintaining accurate records.

Desirable

  • Experience within education, healthcare, public sector, or multi-site environments.
  • Knowledge of planned preventative maintenance programmes.
  • Experience using facilities management systems.
  • IOSH, NEBOSH, IWFM, or other relevant qualifications.
  • Full UK driving licence.
