Job Title: Portfolio Support - Tenancy Management

Location: Birmingham (Office-Based)

Salary: £25,000-£28,000 DOE

Hours: Monday-Friday, 9:00am-5:30pm

About the Role

A well-established Birmingham property developer is seeking a Portfolio Support professional to join its growing Tenancy Management team. This is a fantastic opportunity for an organized, proactive, and professional individual looking to develop within a fast-paced property environment.

Working closely with the Portfolio Manager, you will support the day-to-day management of a property portfolio, with a strong focus on tenant communication, maintenance coordination, and operational support. This role goes beyond administration and requires ownership of maintenance matters and excellent customer service.

This role is available due to the previous person doing this being promoted to Portfolio Manager. This would be the expected next step for you also.

Key Responsibilities

  • Manage and coordinate maintenance requests from start to finish
  • Liaise with landlords, contractors, and suppliers to arrange and oversee works
  • Monitor repairs, snagging, and warranty-related issues through to completion
  • Act as the main point of contact for tenants, managing queries professionally and efficiently
  • Support viewings, lettings administration, and holding fee procedures
  • Chase and track payments, including lettings fees and maintenance invoices
  • Coordinate end-of-tenancy repairs and property turnaround
  • Assist with utilities and council tax correspondence
  • Escalate complaints and support resolution processes
  • Maintain accurate records and ensure smooth portfolio operations

About You

Experience:

  • 1-2 years' experience in a property-related role such as:
  • Property Administrator
  • Property Coordinator
  • Maintenance Coordinator
  • Or similar

Skills & Competencies:

  • Strong organizational and coordination skills
  • Ability to manage multiple priorities
  • Excellent communication and interpersonal skills
  • Professional, confident, and well-presented
  • High level of accountability and initiative
  • Proactive and solution-focused approach

Technical Skills:

  • Strong IT skills, including Microsoft Office
  • Comfortable using WhatsApp for business communication
  • Ability to learn and use CRM/property management systems

Additional:

  • Full UK driving license preferred but not essential
