Portfolio Contract Manager

The location

You'll be based at Fleet House, 59-61 Clerkenwell Rd, London EC1M 5LA, with the option for working in a hybrid way when appropriate and as agreed with your manager.

The role

  • Reporting to the Head of Commercial Contracts and Support within the Commercial & Partnerships you?ll be responsible for our housing and property management portfolio.
  • Be the strategic lead for our growing property/housing management service for investors and other property owners
  • Lead on new business opportunities including co-ordinating due diligence with service leads, consulting stakeholders, completing feasibility assessments and producing recommendations to Portfolio Steering Group, Executive Team and Risk Appraisal Group.
  • Overall responsibility for coordinating and mobilising new contract for property/housing management services. To include organising and interpreting contractual service specification, into new operating processes, establishing performance management framework including KPI in accordance with contract and/or internal standards.
  • Embed excellent governance in our contractual relationships including our decision-making processes, maintaining structured, secure and accurate information relating to contracts, reflecting contractual changes formally, adherence to contractual reporting and financial obligations,
  • To manage the strategic relationship with superior landlords and managing agent for blocks Southern Housing is not the freeholder.

What you?ll be doing:

  • Take the lead role in the mobilisation of new contracts, including delivering workshops, establish reporting & payments arrangements and supporting operational teams to engage fully with Property Investment Partners to deliver their contractual requirements.
  • Working with the Director of Commercial & Partnerships on the development and management of Southern Housing relationships with our network of Property Investment Partners and Superior Landlords/Managing Agents.
  • Organise and co-ordinate with service delivery leads across the business to ensure compliance with all contractual obligations and maintain strong service quality assurance controls including cyclical audits and deep dives into failing performance areas.
  • Working collaboratively with service delivery leads and our clients to ensure successful mobilisation of new contracts and smooth transition of developments transferring to us from another management provider.
  • Working with the Home Ownership, Neighbourhoods, Compliance, Property and Asset Management to develop and maintain excellent strategic relationship with our Superior Landlord/Managing Agents. You will maintain a regular dialogue around their performance to ensure appropriate levels of service to the residents of our clients.
  • Ensure we have a strong framework for reporting performance to clients, service delivery leads, senior management stakeholders and Committees as required demonstrating exceptional awareness of the portfolio through analysis and data driven evidence.
  • Embedding a culture of collaborative working with operational service delivery teams and stakeholders in the broadest sense to ensure successful onboarding of homes and residents making first impressions with Southern Housing a positive experience.
  • Identify opportunities to demonstrate additional value from Southern Housing relationships with Property Investment Partners and Superior Landlords through the development, refining and sharing of processes, systems and third-party relationships.
  • Maintain strong governance in relation to new opportunities including overseeing due diligence, assessing feasibility, identifying risks, consulting service delivery leads, producing draft management contracts and providing project management oversight.
  • Preserving the value of contracts by ensuing compliance with our Contract Management Framework including having an effective data management system, keep up to date risk registers, documenting decisions formally, record variation in line with our contracts.
  • Proactively understand the issues impacting operational performance, stakeholder relationships, customer satisfaction and financial returns to ensure we can mitigate associated risks and preserve the value of our commercial arrangements.
  • Act as lead client to service delivery leads ensuring they comply with our obligations under the contract, where appropriate challenge and if required confident escalate with a view to reaching an outcome that protect out contractual interests.
  • Main accurate records of our commercial arrangements including but not limited to opportunities, due diligence, Heads of Terms, management agreements, variations, decisions, governance documents, performance reporting, viability assessments, risks and quality assurance documents.

What youll need:

  • Degree level qualification or equivalent relevant professional qualifications or qualified by experience.
  • Hold relevant Professional Body membership (or equivalent).
  • Evidence of successfully building and maintaining relationships to ensure the successful and agile delivery of housing management and maintenance services.
  • Evidence of successfully delivering residential landlord and property management activities to a high standard.
  • Background in influencing and shaping the design and development of products and services in a housing or similar service sector setting.
  • Previous achievements of establishing systems to ensure ongoing contract management delivers increasing returns over an extended period.
  • Excellent understanding of best practice, the regulatory and legislative framework in which Registered Providers operate.
  • Strong understanding of effective contract management, quality assurance, risk management,
