Maintenance Coordination Supervisor Location: London Salary: Up to £38,000 Contract: Full Time / Permanent Hours: Monday to Friday, 8am 5pm Are you an experienced Maintenance Coordinator or Supervisor with a strong background in property services, construction, damp, roofing or restoration? Would you describe yourself as a highly organised, proactive professional who is confident managing contractors, surveyors, clients and a busy coordination team? We are currently recruiting for a Maintenance Coordination Supervisor to join a growing property services business, overseeing coordination across its Damp, Roofing and Restoration divisions. This is an excellent opportunity for an experienced coordination professional to take ownership of scheduling, survey bookings, project delivery, contractor management and team performance. Reporting directly to the Operations Manager, you will play a key role in ensuring projects run efficiently, clients receive an excellent service and internal teams work effectively together. The role will involve acting as a central point of contact between clients, surveyors, tradespeople, subcontractors and internal teams, whilst supervising and supporting the wider Coordination function. Duties for this role will include: Supervising and supporting the Damp, Roofing and Restoration Coordinators Managing client enquiries, survey bookings, job scheduling and project delivery Scheduling surveyors and tradespeople based on their experience, capabilities and industry expertise Organising, briefing and managing subcontractors to ensure works are completed to company standards Acting as the primary point of contact between clients, surveyors, engineers, tradespeople, subcontractors and internal teams Monitoring job progress and ensuring tradespeople adhere to agreed schedules Resolving on-site challenges including access restrictions, equipment requirements and unforeseen issues Ensuring accurate documentation and photographic evidence is uploaded following completed works Booking and coordinating Damp, Roofing and Restoration surveys and ensuring reports are delivered to clients within required timescales Providing regular project updates to clients and proactively managing expectations Proofreading surveyor reports, checking grammar, punctuation and estimated values for works Managing callbacks relating to recurring issues, failures or misdiagnosis and ensuring the appropriate surveyor is assigned Maintaining accurate job tracking and reporting through systems including Podio and Trade-Linked Monitoring project profitability, supporting invoicing and following up outstanding payments Ensuring compliance with company processes and procedures relating to financial accuracy, safety and operational efficiency Working closely with Operations Managers, the Site Supervisor and Coordinators to ensure smooth cross-divisional communication Driving accountability, organisation and high performance across the Coordination function Requirements: Minimum 5 years' experience in scheduling, coordination or project administration within property services, construction or facilities management More than 5 years' experience scheduling and booking maintenance or repair works for engineers, surveyors, technicians, tradespeople or subcontractors Minimum 3 years' experience within a damp, property restoration or roofing environment Previous experience supervising or leading a coordination team Strong understanding of how trades, contractors and property projects operate in practice Proven experience managing job bookings, scheduling and tracking systems Excellent diary management and organisational skills Strong client and contractor management experience Excellent communication and professional telephone manner Strong attention to detail and accuracy Ability to manage multiple priorities while remaining calm and professional Proficient in Google Workspace and comfortable using CRM or project management platforms Proactive, solutions-focused mindset with a commitment to delivering high service standards Desirable Experience: Previous experience using Podio Experience within Damp, Roofing and Restoration Experience managing subcontractors and specialist trades Previous experience within a multi-division property services business Experience tracking project profitability, invoicing and payment follow-up If you're an experienced Maintenance Coordinator or Supervisor looking to take the next step in your career, this is an excellent opportunity to join a growing property services business where your organisational skills, leadership and industry experience will have a direct impact on project delivery and customer satisfaction.
