Estate Coordinator (Admin)
Borehamwood, Hertfordshire Head Office Salary: £35,000
If you know your way around building safety compliance and can read a lease with confidence, this is a chance to join a specialist team that takes building safety seriously. It's a busy, detail-focused head office role where you'll keep a large residential portfolio compliant, audit-ready and on track. You'll have a supportive, close-knit team behind you.
Our client is an established property management business in Borehamwood. It manages a large portfolio of residential leasehold properties across the UK. The Building Safety team is small and collaborative, and it plays a central part in how the business protects residents and meets its obligations under the new regulatory regime.
The Role
You'll provide compliance and administrative support across the portfolio, acting as the link between the Building Safety team, managing agents and internal stakeholders. Lease interpretation is a key part of the job. You'll check where repairing and safety responsibilities sit, who is liable for works, and how obligations should be followed up. This makes the role more than a records job: it needs someone who understands both the legislation and the leases behind each building.
Day to day, you'll be:
Reviewing leases to identify repairing obligations, demise boundaries and responsibility for safety-related works
Maintaining accurate, audit-ready compliance records and documentation
Liaising with managing agents to gather documents and chase outstanding safety actions through to completion
Owning the building safety inbox, triaging queries and escalating issues to the right people
Monitoring fire safety compliance across the portfolio, including higher-risk buildings under the Building Safety Act
Supporting the team's responses to enforcement and deficiency notices
Keeping compliance trackers and asset records current, organised and reliable
The Person
You'll be organised and precise, comfortable working through a varied workload, and confident applying building safety legislation and lease terms to real buildings.
Essential:
Proven lease reading experience, with the ability to interpret repairing covenants and allocate responsibility for works
Working knowledge of the Building Safety Act 2022 and the Regulatory Reform (Fire Safety) Order 2005
A sound understanding of leasehold structures and how residential portfolios are managed
Previous experience in a compliance, facilities management or block management role
Strong admin and Excel skills, and confidence across Microsoft Office
The ability to prioritise a busy workload and keep on top of deadlines
Sharp attention to detail and clear written communication
Desirable:
Experience in residential block management or with a freeholder/landlord
Familiarity with compliance management software
