Team Assistant - London Salary: £40,000-£45,000, dependent on experience Location: London Employment Type: Permanent Working Pattern: 4 days in the office, 1 day from home The Role We are seeking an experienced Team Assistant to join our London office and support approximately 15 people across two teams, including Partners. The role focuses on financial administration, invoicing, proof-reading, client and project database management, and bid production . Key Responsibilities Provide day-to-day administrative support to Partners and the wider team. Provide holiday cover and wider secretarial support. Arrange meetings, travel, hotels and events. Produce bids, client documents, project profiles and presentations using Microsoft Office and Adobe InDesign. Manage project portals, client/project information and databases. Maintain financial trackers and support fee forecasting, invoicing and reporting. Raise, check, receipt and issue invoices, ensuring accuracy and timely follow-up. Support Business Development through content production and management. Support the onboarding of new employees and advise colleagues on branding, tools, resources and policies. Handle correspondence, calls and queries professionally. Proofread documents to ensure accuracy, consistency and a high standard of presentation. Provide general administrative and ad hoc support, including potential document control for the Construction Management team About You We are looking for someone who can demonstrate: Strong administration experience gained in a fast-paced professional environment. Ideally, experience within the construction, property or project management consulting industries. Previous experience supporting a team, including senior stakeholders or Partners. Previous financial administration experience, particularly involving invoicing, financial tracking or reporting. Advanced Microsoft Excel and strong Microsoft Office skills. Experience with Adobe InDesign or a similar design/publishing programme; previous bid production experience would be advantageous. Excellent attention to detail and strong numerical, written and verbal communication skills. Good business and commercial awareness. Discretion when handling sensitive commercial information. Strong organisation, interpersonal, problem-solving and decision-making skills. A proactive, professional "can-do" attitude and the ability to work under pressure. Experience organising client entertainment and events; knowledge of London venues would be desirable. Recruitment Timeline Candidates with no more than four weeks' notice are preferred. Interviews are expected to be completed by 28 August . Salary: £40,000-£45,000, dependent on experience.
