Finance & Property Systems Management • To prepare for Review and approval by the AM, Capex, Service charge, and capital projects. To Track and report regularly on expenditure, managing the site teams to take ownership of their individual cost centres, whilst ensuring best practice across all sites. • Ensure that service charge budget packs are properly prepared and communicated to tenants in good time. Manage any tenant liaison on extraordinary expenditure and provide advice to clients on any non-recoverability issues. • To take ownership of arrears across the properties, weekly updates with the Campus Managers, and to deal with insolvent tenants and their solicitors to recover space and maximise recovery of rent arrears, with the support and assistance of the teams on site. • Ensure that all expenditure is delivered in accordance with the service charge budgets and prepare reconciliation packs, working with the accounts team, within the specified time periods. • Through the year, carry out quarterly reconciliations of service charge budget to actual, ensure that the site teams are correctly coding expenditure, and on an ongoing basis ensure that all tenant occupations, and periods of occupancy are kept up to date and correctly recorded on the database. • Working with the HoF and the on-site teams, to identify cost efficiencies and recommend alternatives to be implemented which enhance service and save costs. Job Role: Property Manager Location: Covering a portfolio in Reading Job Sector: Atlantis Estates -A FirstPort Company Hours: Monday to Friday (35 hours per week) As Property Manager you will be: Proving an efficient, cost effective and professional service to all our residents within general residential and retirement properties Consistently delivering an exceptional direct service to our 'open market' managed properties, or via your team of Development Managers, to our independent retirement living managed properties. The Property Manager reports to the Head of Property Management. Main Responsibilities Manage a varied portfolio of retirement and general residential properties within your geographic area. Manage the performance and development of a dedicated team of site-based staff Undertake site inspections for all general residential developments on a regular basis reporting defects and liaising with contractors. Undertake inspections of developments to ensure records, development services, communal grounds, maintenance, and cleanliness are to a high standard. Put in place professional, reliable third-party contractors to undertake planned maintenance programmes and ensure certification is issued in a timely manner. Ensure any defects/remedial works from servicing is completed within a reasonable timeframe to ensure compliance. Manage major works projects both internally and externally, managing the Section 20 process to a successful conclusion. Fully investigate and project plan any actions from Fire Risk Assessment or any other reports ensuring wherever possible assessor deadlines are met. Prepare and control the annual service charge budget. Oversee the service charge billing and collection process. Present at draft budget meetings each year. Manage overall control of costs within assigned portfolio and authorise all additional expenditure throughout the year. Encourage, support, and attend resident association meetings in order to gain an understanding of resident issues, and attend and present at customer meetings where needed What you'll be responsible for Health and Safety - ensure Health & Safety records and checks are being adhered to in a timely manner Financial management and accountability - you will have a good understanding of the budget for your developments and be able to answer queries from residents Expenditure - Authorise expenditure in line with company policies About You You will have gained experience of working within the property manager sector, and will have obtained an Institute of Residential Property Management (IRPM) qualification As an experienced people manager, you will confident in managing a team within a field-based environment. You are passionate about providing excellent customer service at all times and this will have been demonstrated through a proven track record. You will be willing to go the extra mile for our residents. You will already have good knowledge of building maintenance and Health & Safety, and be able to identify issues within abuilding. You will have knowledge of legislative and industry standards in this field. You will be financially aware, confident when dealing with accounts and budgets, and focussed on achieving the best value for money for our residents. An excellent and effective communicator with the ability to explain complex issues, you will also be able to communicate diplomatically in challenging situations, remaining calm, and showing empathy.
